The Reservation can accomodate your recreational and corporate needs. On site facilities include a conference center overlooking Lake Bradford, high and low challenge courses, climbing wall, and waterfront & picnic opportunities.

POLICIES AND PROCEDURES

 

Request Space
Now Accepting Reservations for Spring 2011 and Summer 2011. Fall 2011 Reservations Accepted Beginning April 4th.

1. Requests are processed 9am to 5pm Monday through Friday.
2. Space requests should be submitted at least 72 hours in advance.
   
   • Any space requested less than 72 hours before the event cannot be guaranteed.
   • All requests will be processed within 48 hours.
   • Any changes to your reservation (room setup, A/V or technical requirements) must be communicated to the Facility Coordinator within 48 hours of your event.
   • Cancellations must be made 48 hours before your event.

         3.  Ways to request space:

• E-mail the Facility Coordinator (preferred).   Info to include in your email: Name of party/organization, date requested, # of anticipated guests, set-up, begin & end time of your rental, as well as contact name, number & email address.

Reservation Times

When reserving space it is important to include event preparation, decorating, and event breakdown time. Any rental that has not ended or any rental that has not been cleaned up by closing time will be assessed an overtime ($25) charge and an excessive clean up fee of ($300) may be assessed. FSU Reservation staff has the right to enter an event to insure that there are no violations to Reservation policy or to insure safety and a successful rental.

Cancellations

If for any reason a reservation needs to be cancelled, guests must call the office directly to cancel. Cancellations must be made (48) hours prior to the rental date. Failure to do so will result in the rental being considered a no show.

No Shows

If a guest does not show up within one hour into the reservation time, the guest will be recorded as a no-show for that event. After three no shows without canceling, the guests will lose their reservation privileges in the FSU Reservation, Oglesby Union, Student Services Building, Student Life Building, and Academic Space at Florida State University.

Use of FSU Reservation Equipment

If guests use any audio / visual equipment, furniture or any other equipment belonging to the FSU Reservation, the guest is held liable for all equipment reserved for that event. If there are any damages during a guest's rental, the guest will be assessed a fee equal to the repair or replacement of the damaged equipment.

Misrepresentation of an Event or Guest

Any misrepresentation of an rental or guest will result in the cancellation of the rental(s) and/or the loss of privileges at the FSU Reservation, Oglesby Union, Student Services Building, Student Life Building, and Academic Space at Florida State University.

Decorations

When decorating rooms, guest may not tape, nail, or thumb tack any items to a floor, wall, or ceiling. Guests are also not allowed to hang items to light fixtures or ceilings. When decorating a room it is also important to note that any types of candles or open flames are prohibited from any Union facility. The following is a list of banned decorations at the Union Facilities:

• Tape
• Water Balloons
• Nails
• Thumb Tacks
• **Covering any room windows is prohibited**
• Candles or any Open Flame
• Incense
• Fog or Smoke Machines
• Fountains or any Water Machine
• Smoking: All Union Facilities are non-smoking buildings. If a guest is found to be smoking in any room, they will be asked to leave immediately.
